User Data Deletion Instructions

San Vitores Gardens respects the privacy of owners, tenants, residents, guests, contractors, vendors, and other individuals who communicate with the San Vitores Gardens Maintenance system.

Individuals may request deletion of personal information associated with maintenance communications, including information submitted through WhatsApp or other electronic communication methods.

How to Request Deletion

To request deletion of your personal information, contact San Vitores Gardens – Resident Manager / Property Management using the designated San Vitores Gardens contact method or privacy email address.

Your request should include enough information for us to identify the applicable records, such as:

Your full name. Unit number, if applicable. The telephone number used to communicate through WhatsApp, if applicable. An approximate date or description of the maintenance request or communication. A statement that you are requesting deletion of your personal information.

Do not include passwords, Social Security numbers, financial account information, or other highly sensitive information in your deletion request.

What Happens After a Request

After receiving a valid deletion request, San Vitores Gardens will make reasonable efforts to identify and delete the requesting individual's personal information from the San Vitores Gardens Maintenance system and related records where deletion is appropriate.

We may contact the requester if additional information is reasonably necessary to identify the applicable records or verify the request.

Information We May Need to Retain

Certain records may not be immediately deleted when retention is reasonably necessary or required for legitimate property-management, legal, financial, insurance, safety, or administrative purposes.

Examples may include records concerning:

Completed or ongoing maintenance and repairs. Property damage. Contractor work and invoices. HOA or condominium association records. Insurance claims. Safety or security incidents. Accounting or financial records. Legal disputes or potential claims. Records required to be retained by applicable law.

When information must be retained, San Vitores Gardens will limit its continued use to the purpose for which retention is reasonably necessary.

WhatsApp and Third-Party Data

A deletion request submitted to San Vitores Gardens applies to information controlled by the San Vitores Gardens Maintenance system.

Some communications or technical information may also be maintained independently by third-party service providers, including WhatsApp/Meta or other technology providers. Information maintained independently by those providers may be subject to their own privacy policies and data-deletion procedures.
